POSITION TITLE: Secretary I - V, Temporary or Full
Time.

LOCATION: Clear Lake, TX; Las Cruses, NM; Stennis Space Center, MS
POSITION SUMMARY:
The Secretary is a team member of REDE/Critique Administrative Services at NASA. The incumbent is responsible with
providing a wide variety of clerical, secretarial and general administrative support to the NASA organization and team
members. The level of judgment and independence needed and used in a position is largely what elevates the level on a
position. Higher levels are expected to be able to perform the less routine, higher complexity tasks. The higher levels work with
less supervision and may be responsible for mentoring others in the day-to-day functions of the office.
POSITION RESPONSIBILITIES / STANDARDS:
General Duties:
Answer incoming phone calls, determine the nature of the calls, and direct the caller to the appropriate NASA personnel.Assist in the coordination movement, replacement, and repair of NASA equipment.
Assist in preparing and submitting training requests, tracking attendance, and maintaining training records.
Assist as Records Custodian, become an expert in NASA Standards for Records Management.
Serve as Travel Coordinator for NASA organization, familiarizing with NASA Rules and Regulations for Government
Travel.
Serve as alternate Time and Labor Coordinator, familiarizing with NASA rules and regulations for timekeeping.
Develop correspondence per NASA standards. Distribute upon review and approval. May serve as Correspondence
point of contact for organization by Maintain correspondence tracking log.
Courteously greet visitors in the area, determine the needs for badging requirements.
Schedule meetings, conference rooms, and coordinate calendars..
Serve as move coordinator for organization.
Utilize judgment for information dissemination.
Serve as point of contact for office supply orders.
Photocopy and fax information and documents..
Perform other general administrative duties upon request.
POSITION SPECIFICATIONS:
Must be eligible to work in the United States. Incumbent must demonstrate aptitude for customer service and the ability to handle a wide variety of unique situations in the NASA environment. Utilize judgment within the organization regarding administrative functions. Ability to compose correspondence and adhere to the NASA guidelines regarding grammar and overall format. Ability to grasp technical jargon for correspondence. Communication abilities are a very important attribute for position regarding meeting coordination and prioritizing.. Will be subject to Federal background investigation, credit check, employment check, and academic check (if applicable).
Education:
1. High school diploma or equivalent. Associates or vocational training desired, Bachelors degree a plus
Experience/Specifications:
1. Commensurate with level
a. Secretary I – 0-2 years experience required.
b. Secretary II – minimum of 2 years experience, preferably in a NASA related environment.
c. Secretary III – minimum of 4 years experience, preferably in a NASA related environment.
d. Secretary IV – minimum of 5 years experience, preferably in a NASA related environment.
e. Secretary V – 5-10 years experience, preferably in a NASA related environment..
2. Must be proficient in all Microsoft applications, with special attention to Word and Outlook scheduling.
3. Microsoft Certifications a plus.
4. Professional affiliations a plus.
Physical Demands/Working Conditions:
The position requires intermittent physical activity including bending, reaching and prolonged periods of sitting.
